Welcome To the Exhibitor Manual For Packaging Innovations & Empack 2025

This manual has been put together as a reference to use whilst planning for the event. Taking the time to read through now, will ensure that you are well prepared for the event and enable you to make the most out of your time onsite.

Please pay particular attention to the Deadlines & Forms section. The Health & Safety form, Risk Assessment, and Grid plan are compulsory for all stands. The Shell request form must all be completed by ALL space only stands, as well as any shell schemes wanting to remove items from their stand package. These forms must be completed prior to your arrival onsite and before you can occupy your stand at Packing Innovations & Empack 2025.

Early ordering via the MyEasyfairs webshop and the prompt completion of forms for any extra services will not only give you peace of mind, but will also ensure you do not incur any late order surcharges. Please refer to the Deadlines & Forms section for further details.

It is also important to ensure that you are familiar with all show and venue regulations and that these have been shared with any third-party contractors you may be appointing to work for you on the event.

To make sure you're ready for Packaging Innovations & Empack 2025, don't forget to complete these 4 essential steps:

Take the time to thoroughly read the exhibitor manual. Don’t forget to order any additional items you may need through your My Easyfairs account. Let us know if you have any questions or need any assistance!

Please check the deadlines section of the manual for all important show deadlines. This includes the Health & Safety Form, Risk Assessment, and Grid Plan. These are essential for your stand and will help ensure that everything runs smoothly.

Check out the Delivery & Traffic page to understand the show logistics for build and break. Do not forget to book your access to the loading bay via the link on this page!

This year all space only stand plans will be submitted and approved on Ffair. All space only exhibitors will receive an invite to the Ffair Space Only portal via email.

You must submit your stand plans to Ffair as soon as possible so they may be checked to ensure that they comply with the venue and local authority regulations detailed later in this section.

The deadline for early bird stand orders is Tuesday 7th January 2025

Orders after this date are subject to a 20% late surcharge. Graphics and floor covering orders may not be accepted after this date.

Exhibitor Tips!

Please complete the following forms before

Tuesday 7th January 2025!

Please complete the Health & Safety form.

This covers your stand for the show open period, therefore must be completed by ALL stands including space only stands. For space onlys, this form is in addition to the Health & Safety form covering build up and breakdown included in your stand plans submission.

Grid plan (PDF download)

This form must be completed by all stands, to show us where you would like your package electrics, and additional ordered items like stand fitting and graphics to be installed.

This year all space only stand plans will be submitted and approved on Ffair. All space only exhibitors will receive an invite to the Ffair Space Only portal via email.

Here you can upload your stand plan submissions and contractor details to be reviewed by Ops Squad.

You must submit your stand plans to Ffair as soon as possible so they may be checked to ensure that they comply with the venue and local authority regulations detailed later in this section.

If you have not received your invite, please contact admin@opssquad.co.uk. All stand plans must be submitted by Tuesday 7th January 2025. 

Documents to upload:

  1. Detailed drawings of your stand.
  2. All dimensions, detail build materials, include at minimum a ground plan and elevation drawing, include any inflatables or rigged elements, prove the structural stability, be specifically for this exhibition
  3. Your stand constructor’s public liability insurance
  4. A detailed Risk Assessment which must include details of any unusual exhibits or activities on the stand (any machinery, working kitchens, moving visitor attractions)
  5. A Method Statement
  6. A Health & Safety Declaration
  7. A Construction Phase Plan

If you would like to remove items from your stand or request any shell scheme changes please complete the Shell Scheme Request Form.

If your stand is a space only, this form is compulsory so that we are aware of what items in the stand package you do not require!
